How to Name Your Resume and Cover Letter Files (So Recruiters Can Find Them)

It's the smallest detail in a job application, and one of the easiest to get right. Yet a surprising number of resumes arrive as resume.pdf, CV_final_v3.docx or Document1.pdf.

That matters more than it seems. Recruiters download and forward files all day. A hiring manager might have twenty files called resume.pdf in their downloads folder. A clear file name makes yours easy to find, easy to forward, and quietly signals that you pay attention to detail.

The naming pattern

Use this order:

Name_Type_Company_Role

For example:

  • Arjun-Mehta_Resume_Skyline-Robotics_Senior-CV-Engineer.pdf
  • Arjun-Mehta_Cover-Letter_Skyline-Robotics_Senior-CV-Engineer.pdf

Why this order works

Your name first. The recruiter is looking for you. Starting with your name means your file is identifiable even when the rest is cut off in a narrow column or an email preview.

The document type second. Your resume and cover letter for the same job sit side by side in any folder, because they start the same way.

Company and role last. This helps you keep track of which version went where, and it shows the recruiter the document was prepared for them. If you send a version named for a different company, that's a red flag, so double-check before you attach.

Formatting rules

  • Use hyphens between words and underscores between parts. Priya-Sharma_Resume_Acme_Data-Analyst.pdf is easy to read at a glance.
  • Stick to letters and numbers. Avoid symbols such as &, #, /, @, emoji and accented characters. Some upload forms and email systems mangle them.
  • Title case your name. Priya-Sharma, not PRIYA SHARMA or priya sharma.
  • Drop legal suffixes from the company. Acme, not Acme-Pvt-Ltd.
  • Keep the role short. Data-Analyst, not Data-Analyst-Remote-Bengaluru-Req-48213.
  • Stay under about 80 characters so the full name shows in most file pickers.

Mistakes to avoid

Version words: final, final2, v3, updated, new. They tell the recruiter about your editing process, not about you.

Dates: Resume_2026-10-02.pdf. Dates are useful in your own folders but add noise for the reader.

The word "tailored" or "custom": every good application is tailored. You don't need to announce it.

Generic names: resume.pdf, CV.docx, Document1.pdf.

The wrong company: reusing a file from a previous application without renaming it. This is the one mistake on this list that can actually cost you the job.

PDF or Word?

Send a PDF unless the employer asks for Word. A PDF looks the same on every device, and modern applicant tracking systems read text-based PDFs well. Some portals and recruiters do request .docx files so they can edit or parse them, so keep a Word version of your resume ready too.

Whichever you send, make sure your email, phone, LinkedIn and portfolio links are clickable inside the document. Recruiters often contact you straight from the file.
